# ThreadKeepAI — User Manual

**Open beta · Edition 1 · Updated November 5, 2026**

Keep the useful parts of your work together, review what you trust, and carry that context into a new AI conversation.

This manual covers ThreadKeepAI as it works today. Section 13 lists ideas that aren't available yet.

## 1. Start here

### Sign in on a computer or phone

1. Open [ThreadKeepAI](https://www.threadkeepai.com/) and choose **Start free** (or go straight to [the sign-in page](https://www.threadkeepai.com/preview/)).
2. New here? Choose **New here? Create a free account**, enter your email and a password of at least 12 characters, and choose **Create account**. Open the confirmation email and select its link; it brings you back to the sign-in page.
3. Enter your email and password and choose **Sign in**.
4. Choose **Open account workspaces**.
5. Use **Switch workspace** to select the project you want.

ThreadKeepAI is in open beta and free during the beta. Everyone who joins during the beta gets ThreadKeepAI Pro free for 12 months after launch. You stay signed in only in that browser tab, so you may need to sign in again in a new tab or after closing it.

An empty workspace opens with a short welcome and a tip under each of the three steps on **Home**. Start with step 1, **Bring in a conversation**. The welcome and tips disappear once something is saved.

### A first record in five minutes

1. Select your workspace and choose **+ Add context**.
2. Set **Type** to **Fact** and **Status** to **Draft**.
3. Enter **Topic:** Balcony space.
4. In **What should the AI know?**, enter: My balcony has 20 square feet of usable space.
5. Enter **Source:** My measurements. Leave the optional rationale blank.
6. Choose **Save context**, then open **Saved context**.
7. Find the record, check that its wording is correct, and choose **Mark as trusted** when you are ready to rely on it.

Use your own real information outside this example. A saved Draft is not automatically trusted.

## 2. Find your way around

**Home** shows three steps. The step to do next is highlighted:

1. **Bring in a conversation**: paste a chat or load a text file. The AI suggests what is worth keeping. On the other pages, **↓ Bring in a conversation** is at the top right.
2. **Check what it found**: everything that needs your decision before it goes into your handoff. That is new suggestions, drafts, differing information under the same topic, and records not checked in 90 days.
3. **Take it with you**: **Copy handoff** copies a briefing of your trusted context for your next AI chat. **See what's included** shows the full briefing and what was left out.

| Menu | What it does |
| --- | --- |
| Home | The three steps, plus your most recent saved context. |
| Saved context | Finds, edits, confirms, archives, and restores your records; opens record history. Filter by **Type: Decision** to see decisions with their reasoning. |

Backups, workspaces, and your account are at the bottom of the menu.

## 3. Workspaces and saving

Choose **New workspace**, enter **Project name** and **Goal**, and choose **Create empty workspace**. Your existing workspace remains. Use **Switch workspace** to return to it. Each workspace has its own records and unfinished import.

Your workspaces are saved to your account, so you can use them on any computer or phone you sign in on. The page shows **Saved to your account** after each save.

While the page is open, it checks for changes from your other devices about every 15 seconds, when you come back to the page, and after a dialog closes. It waits while you're typing, editing or saving, so it never interrupts you. You need to be online: changes made offline aren't merged.

If saving fails, keep the page open and download a backup before reloading. If you save a record with **Edit context** and it was changed on another device in the meantime, ThreadKeepAI shows you both versions first (see below). Other kinds of save are stopped rather than overwrite the newer version.

### Workspace settings

Under **Switch workspace**, choose **Workspace settings**. Choose the workspace at the top; the open one is chosen first, marked (open). You can change any workspace in use without opening it:

- **Save changes** renames the chosen workspace and updates its goal. The goal shows under the workspace name in the sidebar and at the top of your handoff.
- **Set aside** removes the chosen workspace from **Switch workspace**. It stays saved. If it's the open one, you're moved to another workspace. You need at least one workspace in use, so the last one can't be set aside.
- Under **Set aside**, **Bring back** returns a workspace to **Switch workspace**. **Delete permanently** removes it, with all its records, their history and any unfinished import, after you confirm. It can't be undone, and only set-aside workspaces can be deleted.

### Compare edits from two devices

This comparison appears when you save with **Edit context**.

1. If another device saved while your editor was open, choose Save context as usual.
2. Read **Your edit** and **Latest saved record** in the comparison.
3. Choose **Back to editing** to keep working without saving, **Keep saved version** to discard your form edit, or **Apply my edit as Draft** to save your wording.
4. Applying your edit keeps other saved records and account import progress. The previous saved version of this record is retained in history.

If another change arrives while you're comparing, the newest version is shown before you continue. Archiving, confirming, importing and restoring from history don't show this comparison yet: if one of them clashes with a newer save, it's stopped, and you should download a backup and reload. The comparison covers the whole record; you can't pick individual fields. If the record was deleted on the other device, applying your edit brings it back as a Draft.

## 4. Understand records and trust

| Type | Use it for |
| --- | --- |
| Fact | Information you believe describes the current situation. |
| Decision | A choice that has been made, ideally with its reason. |
| Preference | How you want to work or communicate. |
| Question | Something still unresolved. |
| Next action | A committed next step. |
| Proposal | An idea or recommendation that has not become a commitment. |
| Historical note | Background that should not be treated as current guidance. |

**Draft** means saved but not yet trusted: it stays out of your handoff. **Trusted** means you checked it; it does not mean an independent authority proved it true. **Archived** means kept but inactive.

Your handoff includes only trusted records that were checked in the last 90 days and don't disagree with another record under the same topic. Records not checked in 90 days show **Check due**. Proposals and historical notes stay out of the handoff even if trusted. Active questions appear separately as open questions, including Draft questions.

Context readiness is a review checklist score, not a measurement of AI accuracy.

### Edit, confirm, archive, or delete

1. Open **Saved context** and search by topic, wording, or source. Use the type filter when helpful.
2. Choose **Edit context**, change the fields, check the Status, and choose **Save context**. Editing retains the selected status; choose Draft if the revised information is uncertain.
3. On a draft, choose **Mark as trusted** only after checking it. On a trusted record, **Still true** marks it as checked today.
4. Choose **Archive** to remove it from active use without deleting it.
5. To bring it back, choose **Show archived (number)** under the list, then **Restore as draft** on its card. **Back to saved context** returns to your active records.
6. To remove an archived item for good, choose **Delete permanently** on its card and confirm. This can't be undone, and its history is deleted too. Only archived items can be deleted.

### Review differing information

1. On **Home**, choose step 2 (**Check what it found**).
2. Compare the alternatives shown under the same topic.
3. Choose **Use this version** for the version that is true now.
4. That version becomes trusted; the other active facts/decisions under that topic are archived.

The same topic with different wording means the records might disagree, not that they do. If the same thing is saved under different topics or worded very differently, it may not be spotted. Marking a record as trusted in **Saved context** doesn't settle a disagreement; settle it here.

## 5. Import a conversation

### Paste or load text

1. Select the destination workspace before importing.
2. On **Home**, choose step 1, **Bring in a conversation**. On other pages, use **↓ Bring in a conversation** at the top right.
3. Paste into **Conversation**, or use **Load a text file** to choose a .txt or .md file. The excerpt limit is 30,000 characters.
4. Enter a useful **Source name**. Quick paste supplies an editable name automatically.
5. Review the text. Include speaker labels such as User: and Assistant: when available; do not label an AI suggestion as your own statement.
6. Wait a moment while the AI gets ready. It's chosen for you.
7. Check **I approve sending this conversation to OpenAI** and choose **Extract suggestions** only when ready.

Extraction sends the conversation text to OpenAI to get suggestions. Your saved records and the source name aren't sent. Pasted text and unfinished review choices are saved to your account, but your approval to send text to OpenAI is never remembered: you tick it each time.

During the open beta, each account can make 20 extraction attempts a day. The count starts again at midnight UTC, and there's no setting to change it. If you reach the limit, ThreadKeepAI tells you to try again tomorrow.

### iPhone and iPad

1. Copy the conversation text from its source application.
2. In ThreadKeepAI, open an empty import and tap **Paste from iPhone / iPad**.
3. The button focuses the Conversation box. Touch and hold inside the box and choose **Paste** if text has not already appeared.
4. Check the text and source name. Extraction approval should remain unchecked.

This uses your device's own Paste, so ThreadKeepAI never reads your clipboard, or anything in another app, by itself. If an unfinished import is already present, finish it or deliberately choose **Discard import progress** before starting a different one. Discard removes unfinished work, not saved context records.

If you see encoded spaces such as %20, use **Convert encoded text (%20 spaces)** below the box, then review the result. Web links are left as they are. Normal text doesn't need this.

## 6. Review suggestions before saving

1. Read each suggestion and its supporting quote. Check speaker attribution, wording, type, and rationale.
2. Use the comparison message to guide your review:

| Message | Meaning |
| --- | --- |
| New topic | Nothing similar is saved; check the quote before keeping it. |
| Similar to something you saved | Compare it with saved or earlier suggested information on the same topic. |
| Already saved | The same type, topic, wording, and rationale are already saved or repeat in this import. It won't be saved again. |

3. Expand **Compare with…** to see matching wording, status, rationale, and source.

Use **Show suggestions** to filter the review. **Hide already saved** is the default; choose **All suggestions** or **Already saved** to see them. **Keep shown items as drafts** selects Keep as draft for the shown items, except ones already saved; **Skip visible items** clears their selections. Filtering preserves choices, including hidden choices. Bulk selection never confirms items as trusted.

4. Edit inaccurate wording, then choose a **Review action** for each suggestion:
    - **Keep as trusted**: you checked the source and wording. Saved as Trusted, with no second confirmation needed.
    - **Keep as draft**: saved, but left out of your handoff until you mark it as trusted in step 2.
    - **Skip**: do not add it. This is the default for new suggestions.
5. Check the **Will save** line: how many will be saved as trusted and as drafts, how many you skipped, and how many are already saved (not added again), across all filters. Choose **Save my choices**.
6. The completion screen shows the saved counts and offers **Take it with you** or **View saved records**. Anything that disagrees with a saved record stays out of your handoff until you settle it in step 2. Questions, proposals, and historical notes are offered as Draft only; active questions appear as open questions.

Editing a suggestion you marked as trusted turns it back into a draft, so you can check the new wording. Your choices are kept if you close an unfinished import and come back; your approval to send text to the AI isn't. Open **What do Trusted, Draft, and Skip mean?** for short explanations and a link to this manual.

Exact duplicates are skipped when saving, including matches with archived records. Repeated selected suggestions are saved once. Matching is by topic and wording, not by meaning. Importing never overwrites a record you've already saved.

Saving finishes the review and discards unselected suggestions. To retain the review separately, choose **Download review report** before finishing. Unsupported suggestions are rejected and cannot be approved.

## 7. Capture from ChatGPT on desktop

**The capture extension isn't available to install yet.** For now, copy the conversation and use **Bring in a conversation** (section 5). These steps are here for when it is. It's a desktop browser extension, not an iPhone app.

1. Open the ChatGPT conversation in a supported desktop browser and open the extension.
2. Set **Save to** to **ThreadKeep account** and choose **Sign in to ThreadKeep** if needed.
3. Choose **Cloud workspace**, then **Check destination**. Verify its name.
4. Choose **Read loaded messages**.
5. Select the messages to keep and review **Selected excerpt**, speaker labels, and Source name.
6. Use the transfer button for the selected destination.
7. Choose **Open captured import in ThreadKeep** and review the captured text before extraction.

Only loaded text is captured. Attachments, images, unloaded turns, and other branches are excluded. Closing the popup discards its unsaved preview. A transfer preserves existing records and will not overwrite an unfinished import. Capturing alone does not perform AI extraction.

## 8. Create and use a handoff

1. Choose the correct workspace. On **Home**, step 3 (**Take it with you**) has **Copy handoff**; choose **See what's included** to read the briefing first.
2. Read the briefing and the list of excluded records and reasons.
3. Resolve missing or uncertain information if it matters to your next conversation.
4. Choose **Copy handoff**, **Download Markdown**, or **Share handoff** when your browser supports sharing.
5. Paste or share the briefing into the destination you choose. Review before sending it as a message.

**Share handoff** opens your device's share menu; what you can share to depends on the device. Canceling the share menu sends nothing. ThreadKeepAI never sends a chat message for you.

With the capture extension (for Chrome, Microsoft Edge and Firefox), you can choose **Preview workspace handoff**, review it, and then **Insert into empty new-chat draft** in a new ChatGPT chat. You still press Send yourself. If insertion is unsupported, use Copy handoff.

### Use your context in Claude (connector)

Connect ThreadKeepAI to Claude once, and Claude can read your saved context whenever you ask, without copying and pasting. It works in claude.ai, the Claude desktop and mobile apps, Claude Code and Cowork. The connector is read-only: Claude can't change, add or delete anything in ThreadKeepAI.

**Connect it**

1. In Claude, open **Customize → Connectors** and choose ThreadKeepAI. If it isn't listed yet, choose **Add custom connector**, enter the name `ThreadKeepAI` and the URL `https://wcnihvihfnsuptdgnebs.supabase.co/functions/v1/threadkeep-mcp`, and choose **Add**.
2. Choose **Connect**. A ThreadKeepAI page opens.
3. Sign in with your ThreadKeepAI email and password.
4. Check the page: it names the app (Claude), your account, and what it will be able to read. Choose **Allow**.
5. You return to Claude, and ThreadKeepAI shows as connected.

If the page says the request doesn't come from Claude, choose **Deny** unless you started the connection yourself and trust the app.

**Ask Claude**

- "What ThreadKeepAI workspaces do I have?"
- "Load my Balcony garden handoff." Claude gets the same text as **Copy handoff**: trusted records only.
- "Search my ThreadKeepAI context for sunlight." Claude finds matching records, trusted ones first. Drafts are labelled as drafts, because you haven't confirmed them yet.

Claude can only read what's in your account. To add or change a record, do it in ThreadKeepAI; Claude sees the change the next time it looks.

**Disconnect**

In Claude, open **Customize → Connectors → ThreadKeepAI** and choose **Disconnect**. To also cancel the connection on ThreadKeepAI's side, email beta@threadkeepai.com.

## 9. View history and restore an earlier version

1. Find the record in **Saved context** (filter by **Type: Decision** for decisions).
2. Choose **History (number)**.
3. Compare current wording with earlier entries. Each date indicates when that earlier version was replaced.
4. Under the version you want, choose **Restore this version as Draft**.
5. Confirm the restoration, then review the restored record in the library.

Restoring retains the record identity, saves the chosen version as Draft, and preserves the version it replaced. Confirm separately if the restored information should become trusted.

The latest 20 earlier versions are retained per record, including source and supporting evidence. History only covers changes made since the feature was added, so it can't show older edits. It's there to help you, not a tamper-proof audit log. History is included in workspace backups, but old versions never go into your handoff.

## 10. Back up and recover

Choose **Back up workspace** for the current workspace, including its record history. Choose **Back up all workspaces + imports** for all workspaces and unfinished imports. Keep downloaded files somewhere you can recover if your computer or account becomes unavailable.

### Restore an account backup

1. Choose **Restore backup**.
2. Choose the downloaded JSON backup file and review the preview.
3. Choose **Restore as new copies**.
4. After success, use **Switch workspace** to select a copy named “(restored)”.

Account restore keeps existing workspaces unchanged. It preserves record statuses, sources, history, and supported unfinished import progress. If restoration stops with an error, follow the message and inspect saved copies before retrying; some copies may already have saved.

Restoring a whole backup is different from restoring one earlier version of a record (section 9).

## 11. Forgotten password

For a forgotten password, choose **Forgot password?**, enter your account email, and choose **Send reset link**. Open the newest email link, enter and confirm a new password of at least 12 characters, and choose **Save new password**. Then sign in with it.

## 12. If something goes wrong

### Send feedback and the Beta report

At the bottom of the sidebar:

- **✉ Send feedback** shows the details that go with your message: the build, your browser, where your workspaces are saved, the screen size and the page you were on. **Email it** opens your email app with a message to beta@threadkeepai.com; you write what happened and send it yourself. **Copy** copies the details instead.
- **Beta report** shows what ThreadKeepAI has counted: workspaces in use and set aside, trusted records, drafts and archived records, how many came from conversations you brought in, unfinished imports, what is waiting in step 2, and handoffs copied, shared or downloaded on this device. Sending it with your feedback helps us see how ThreadKeepAI is used (**Email it** or **Copy**).

Both contain counts and technical details only: no workspace names, record text or conversation text. Nothing is sent unless you send the email.

| Symptom | What to do |
| --- | --- |
| Paste button cannot access clipboard | Touch and hold inside **Conversation** and choose **Paste**. |
| Existing import blocks quick paste/capture | Finish it, or discard it deliberately before importing different text. |
| Phone does not show a recent change | Close editing dialogs, leave input fields, bring the page forward, and allow about 15 seconds. |
| Workspace changed / not saved | Keep the page open, back up unsaved work, and reload or sign in as instructed. Do not assume the edit saved. |
| AI setup failed | Choose **Retry import setup**. Nothing is sent to the AI until you approve it. |
| Extraction timed out | Read the message, then try again. Each try counts toward your 20 a day. |
| Extension cannot read or insert | Use **Bring in a conversation** and **Copy handoff** instead. If you're offered a diagnostic download, attach it to your feedback email. |
| Something in this manual is missing on screen | Refresh the page. If it's still missing, use **Send feedback**. |
| History is empty | The record hasn't changed since history was added. |

## 13. Concept only — not available yet

These are ideas for later, not promises or release dates.

| Concept | Intended functionality | Current alternative |
| --- | --- | --- |
| Comparing edits for every kind of save | Show the two-device comparison for every kind of save, and let you choose field by field. | **Edit context** shows it today; other saves are stopped and ask you to reload. |
| Capture extension for ChatGPT and other AIs | Install the extension (section 7), and capture from AI services other than ChatGPT. | Copy the text into **Bring in a conversation**. |
| Share into ThreadKeepAI on iPhone | Send text to ThreadKeepAI from another app's share menu. | Copy and paste. (Sharing your handoff out of ThreadKeepAI already works.) |
| Account self-service | Fuller account management, including deleting your own account. | Create your account and reset your password on the sign-in page. For anything else about your account, email beta@threadkeepai.com. |
| Offline editing | Work offline and merge the changes later. | Work online; download a backup if saving fails. |

Whatever is added, AI suggestions will never become trusted without you checking them.

## 14. About this manual

This manual is updated as ThreadKeepAI changes during the open beta. If something here is wrong or unclear, use **Send feedback** or email beta@threadkeepai.com.
